1. Who we are and what this policy covers
Estimate AI Solutions, LLC (“Estimate AI Solutions,” “we,” “us,” or “our”) is a Georgia limited liability company. This Privacy Policy explains how we collect, use, share, protect and delete personal information when you use our website at estimateai.solutions, the Estimate AI Solutions mobile app available on Google Play, and our related estimating tools and services (together, the “Services”).
Our Services are built for insurance, restoration and construction professionals. By using the Services, you agree to the practices described in this policy. This policy should be read together with our Terms of Service and our Security & Data Protection Disclosure, which describes our security safeguards in more detail.
2. Information we collect
We collect only the information we need to provide and support the Services.

Information about other people in uploaded documents. Estimates you upload may include information about property owners, policyholders or insurance claims. You are responsible for making sure you have the right to upload and share those documents with us. We process that information only on your behalf and only to provide the Services you request.
Information we do not collect. The app does not collect your precise location, contacts, photos outside of documents you choose to upload, or advertising identifiers for tracking purposes.
3. How we use information
We use the information we collect to:
- Create, manage and secure your account
- Perform the estimate review, comparison and conversion you request, including sending results to Xactimate when you choose to
- Process subscriptions and purchases
- Provide customer support and respond to your requests
- Fix bugs, keep the Services working and improve features
- Send you service-related messages, such as account, billing and security notices
- Comply with legal obligations and protect the rights and safety of our users and the public
We do not sell your personal information, and we do not use your information or uploaded documents for targeted advertising.
4. How we use artificial intelligence
Our Services use artificial intelligence (AI) to read and analyze the estimates you upload and to produce your reviews, comparisons and conversions.
- Your data stays yours. Your uploaded documents and the results the Services produce are your proprietary information.
- No data retention by the AI. Our AI processes your documents only to deliver your results and does not retain your data.
- No sharing with other users. Your documents and results are never shared with or made available to other customers.
AI-generated reviews, comparisons and suggestions are tools to support your work. They do not replace your professional judgment, and you remain responsible for verifying estimates before submitting them to any carrier, adjuster or customer.
5. How we share information
We share information only in these cases:
- Service providers that process data on our behalf and under our instructions, namely cloud hosting through Amazon Web Services (AWS) and payment processing through WP Simple Pay (powered by Stripe).
- Integrations you choose to use, such as sending results back to your Xactimate project. Data moves only when you start that action.
- Legal requirements, when required by law, subpoena or court order, or to protect the rights and safety of our users or the public.
- Business transfers, if Estimate AI Solutions is involved in a merger, acquisition or sale of assets, subject to the same protections described in this policy.
6. Cookies on our website
Our website may use cookies that are strictly necessary for it to function, such as keeping the site secure and completing a checkout. We do not use advertising or third-party analytics cookies. You can block or delete cookies in your browser settings, but some parts of the website, such as checkout, may not work properly without them.
7. How long we keep information
We keep personal information only as long as needed to provide the Services and for the purposes described in this policy.
- Active accounts: we keep your account information and uploaded documents while your account is open. You can ask us to delete specific uploaded documents at any time without closing your account.
- Deleted accounts: we delete your account profile, uploaded documents, estimate results and usage history tied to your account within 30 days of verifying your deletion request.
- Records we must keep: we may retain limited records we are legally required to keep, such as billing and tax records, for up to 7 years, and data needed to prevent fraud or resolve disputes. Retained data stays protected under this policy.
8. How we protect information
We use administrative, technical and physical safeguards designed to protect your information from unauthorized access, loss or misuse. These include encryption in transit using HTTPS/TLS, AES-256 encryption at rest through Amazon Web Services (AWS), access limited to authorized personnel using unique logins and multi-factor authentication, and ongoing monitoring. We build our security program around SOC 2 controls and completed our SOC 2 Type I audit in April 2026.
No method of transmission over the internet or electronic storage is 100% secure, so we cannot guarantee absolute security. If we learn of a security breach that affects your personal information, we will notify you and the appropriate authorities as required by applicable law.
9. Your choices and rights
You can review and update your account information at any time in the app. You may also ask us to:
- Access or receive a copy of the personal information we hold about you
- Correct information that is inaccurate or incomplete
- Delete your account or specific uploaded documents
- Stop non-essential communications from us
Depending on where you live, you may have additional rights under state privacy laws. We will not discriminate against you for exercising any of these rights. We may need to verify your identity before completing a request, and we will respond within the time required by applicable law.
How to delete your account. You can request deletion of your account and its associated data at any time, without reinstalling the app:
- In the app, go to Settings > Account > Delete Account
- Email kyle@estimateai.solutions from the email address on your account with the subject line “Delete my account”
- Submit the request form at estimateai.solutions/delete-account
10. Children’s privacy
The Services are built for professionals and are not directed to children under 13 (or under 16 where local law requires). We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, contact us and we will delete it.
11. Where we process information
Estimate AI Solutions is based in the United States, and we store and process information in the United States using Amazon Web Services (AWS). If you use the Services from outside the United States, your information will be transferred to and processed in the United States.
12. Changes to this policy
We may update this Privacy Policy as our Services or legal requirements change. We will post the updated policy at estimateai.solutions/privacy with a new effective date, and if the changes are significant we will notify you in the app or by email.
